Pollicy is looking for a Program Coordinator in Tanzania to support our different project initiatives in close collaboration with our Programs Team. This position involves supporting the planning, managing, implementation, communication and partnerships etc. in order to achieve the project targets as effectively and efficiently as possible while ensuring consistency with project work plan. The Programs Coordinator will support thematic areas related to digital inclusion, digital resiliency and digital rights.

REPORTING TO: Director of Strategic Initiatives.
LOCATION: Remote (Tanzania)

Pollicy is an award-winning feminist civic technology collective. Our work and research spans across the use and implementation of data and technology to engineer social change. In the recent past, we have researched ways through which Africans can take back control of their data and reimagine new ways of tech ownership.

About the Role:
Working under a dedicated Program team at Pollicy, the Program Coordinator is responsible for working closely with the Director of Strategic Initiatives, to prepare comprehensive action plans, including resources, timeframes and budgets for programs and projects. They will perform various coordinating tasks, like schedule and risk management, along with partnership and project administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, they should have excellent time management and communication skills, as they will collaborate with clients and internal teams to deliver results on deadlines. Ultimately, the Program Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet high quality standards.

ROLES AND RESPONSIBILITIES.
1. Perform and coordinate all project related activities.
❖ Assist in the development of new project proposals in collaboration with the Project manager, Director of Strategic Initiatives and Director of Programs.
❖ Coordinate all project activities including preparation of work plans and related monitoring.
❖ Ensure the timely implementation of projects and report any delays or discrepancies noticed in project activities.
❖ Play a leading role in the development of advocacy and publicity materials.
❖ Ensure timely submission of all project reports, administrative and financial management of project funds in accordance with Pollicy Finance Manual, guidelines and donor’s
procedures.
❖ Develop daily activities schedule with the Program team and provide accountability.
❖ Proactively maintain a current awareness of the project activities and status.

2. Assist in Program Administration
❖ Maintain project files and related documentation.
❖ Prepare meeting agendas and minutes for external meetings with partners and donors
❖ Actively participate in the organization of events (Meetings/workshops/training, etc.) in any various countries.
❖ Undertake program administration tasks as and when necessary

3. Ensure proper Project management.
❖ Assist the project evaluation process.
❖ Identify opportunities for further project funding.

4. Conduct continuous research and provide recommendations on significant developments, emerging opportunities.
❖ Conduct research and provide input for the development of new resources, planning tools, and resourcing processes.
❖ Provide recommendations on significant developments and emerging opportunities.

5. Promote Pollicy’s image and provide technical support to stakeholders in line with the Organizational mission vision and values.
❖ Establish and maintain effective working relationships with internal and external contacts as well as maintain good and regular institutional relations with Local Authorities/ NGOs/Government Leaders, Politicians, Agencies and other stakeholders on behalf of Pollicy.
❖ Carry out any other duties as may be required and assigned.

Desired Qualifications and Skills
1. Bachelor’s Degree in Project Management or related field.
2. A minimum of 2 years experience in program and projects design and management.
3. Fluent in English, good communication skills, both written and verbal;
4. Flexible in approach to tasks
